Volunteer Registration Information
Hi parents!
We’re excited to have you in the swim team family! Thank you for providing this opportunity for your children and for supporting the team to make it all happen.
Our swim team relies on your contributions as volunteers to operate the swim meets!
Volunteer System Overview: Here’s how the volunteer system works:- We have designated a series of volunteer roles for each meet. We have further broken down most of those roles into a “first half of the meet” shift and a “second half of the meet” shift.
- We need your family to register to fulfill these shifts as follows:
- If you have one swimmer on the team, please register for four (4) total shifts for the season;
- If you have two swimmers, please register for five (5) total shifts; and
- If you have three swimmers, please register for six (6) total shifts.
To be clear: one “shift” means performing a shift for a particular role for a particular meet.
Available Volunteer Roles: Here’s a link to descriptions of the various volunteer roles. Some of the roles are unique to home meets, but many of the roles are available for both home and away meets.
Registration Information:- Registration for volunteer shifts will open on Tuesday, May 13 at 10:00 am.
- To register, please follow this link to the meet schedule.
- Next to each meet, you will see a green button that says “Job Signup Open.” Click that button to register for volunteer shifts for that meet.
- Registration for volunteer shifts is first come, first serve! Please register early, particularly if there are any meets you will not be able to attend.
- Registration will close at the end of Thursday, May 22 (midnight). This gives us time to get organized with the particular volunteer team for each meet.
- If you do not register for volunteer shifts by the deadline, I will assign shifts to your family. Don’t miss your chance to pick!
None of the volunteer roles expressly require prior experience, but there are a few roles for which prior experience is helpful. As such, we will be taking requests beginning immediately to pre-fill shifts for the following roles:
- Clerk of Course (home and away meets, divided first half/second half)
- Announcer (home meets only, must do full meet, counts as two shifts)
- Head Timer (home meets only, divided first half/second half)
- Stroke/Turn Judge (home and away meets, divided first half/second half)
If you’d like to do one or more shifts in any of these roles, please e-mail me at [email protected] right away!
If shifts in these roles remain open when registration begins, don’t be shy about registering for them! You can definitely do them with a little preparation ahead of time. And then you’ll be a great candidate to pre-register for them next year!
Also, if you have a swimmer in the 6U division, you can pre-register for the Meet Set-Up role for one or more of the home meets. 6U swimmers are usually done with their events very early in the meet, so it can help those families to have volunteer roles that have already concluded before the meet begins. What if My Availability Changes?
- After registration closes, you will be responsible for the shifts you’ve registered for.
- If you cannot fulfill a shift, please do the following:
- Let me know you cannot fulfill the shift, then
- Find a replacement to fulfill that shift (I will help if possible), and
- Let me know who the replacement will be.
Volunteer Opportunities for Teenagers: If you have a teenager looking for volunteer opportunities, please e-mail me at [email protected] with the teenager’s availability on meet days (see schedule below).
Meet Schedule:Each volunteer shift you register for will apply to one of the six (6) primary regular season meets. Those meets are on the following days:
- Thursday, June 5 (away)
- Monday, June 9 (away)
- Thursday, June 12 (home)
- Tuesday, June 17 (home)
- Thursday, June 19 (away)
- Monday, June 23 (home)
Our schedule also includes the following additional swim events, which are NOT part of the volunteer registration process. If we need volunteers for these events, we will request them later on an ad hoc basis.
- Division 4 Relay Carnival (new this year) (Saturday, June 14)
- Division 4 All Star Meet (must qualify via regular season meet performance) (Saturday, June 28)
